BAASS Sensory Gymnastics Guidelines
The Bendigo Autistic Advocacy and Support Service (BAASS) Sensory Gymnastics Program is delivered with an unstructured and child led approach.
The BAASS Sensory Gymnastics Program runs throughout school terms, on Saturday mornings. This is a partially funded program, with thanks to Carer Support Services and the support of Palmer’s Gymnastics, Bendigo. This means that there is minimal cost to you, to attend this program.
Parent/Guardian/Carer/s are required to be in attendance and provide for their own children/s needs.
There will be gymnastics staff and supervisors in attendance to support participants in a range of ways, depending on the child's preferences– for eg. engaging, equipment usage and safety, positions and moves and demonstrations etc.
Please advise a BAASS Co-Convenor/s of any concerns or considerations relating to your children’s
needs and attendance.
All participants must register using the BAASS Sensory Gymnastics Registration Form. This form asks you to abide by these guidelines and to indicate your preference for consent of images/footage being taken during sessions, as per BAASS Image/Footage Consent Information Form– available on our website here, at the BAASS office (via appointment) or via email on request. BAASS will keep your information confidential and it will be stored securely.
Each session is capped at a specific number for the safety and well-being of participants. Please confirm that you have a place in the session before completing the registration form. We will be keeping a list of names for any vacancies or additional sessions.
Please respect this program and the time volunteered by BAASS Co-Convenors, by adhering to our program guidelines.
Sensory Gymnastics Program Guidelines
We appreciate your cooperation with the following guidelines. These ensure we can continue to offer this program and do so safely.
The safety and well-being of participant is our utmost priority.
There are 11 (eleven) guidelines and we are working on updating these guidelines further. Please ensure you have read all 11 (eleven) guidelines.
Participation in this program requires you to adhere to the following guidelines:
1. Registration
· Participants MUST complete a BAASS Sensory Gymnastics Registration for each child participating
· This is required at the start of participation and at the start of each year
· This form ensures you have read and will abide by these guidelines and to indicate your preference for consent of images/footage
being taken during sessions, as per BAASS Image/Footage Consent Information Form. This form is available on our website, at
the BAASS office or via email on request. BAASS will keep your information confidential and it will be stored securely.
· Please note that participants must also complete a Gymnastics Registration Form for Palmer’s Gymnastics each year, for insurance purposes.
This is essential for your child to participate.
Children will not be able to participate until this form is completed. Palmer’s Gym staff will provide and support you with this.
2. Fees and payment
The BAASS Sensory Gymnastics Program will be delivered at minimal cost to you. This program is crucial and incredibly beneficial for all participants and it is our passion to ensure we can continue to provide this.
Cost: Payable by term, dependent on term length. Please contact us for more details.
Terms generally cost approx. $50 per child- this will vary slightly per term. Prices are capped for families with 3 children or more, so please get in touch if you would like to book places.
Payment: Bank transfer
Payment in advance, by term is preferable.
We can accept flexible arrangements, please contact us to arrange this.
Bank payment
Please make term payment in full before the start of term. If paying at a different frequency, please ensure your payments are made in advance, by the due date.
Please include your children's surname or the surname of main contact on registration form as reference
Please email BAASS to confirm payment, and include details of amount paid and participant names.
There are no refunds except in exceptional circumstances. We aim to be as inclusive and flexible as possible whilst ensuring this program can continue and participants have places. Program running costs continue even if you miss a session- paying by term ensures your child/ren/youth have a space reserved in the program for that term/year.
We understand unexpected events occur, so please feel welcome to get in touch and discuss further!
BAASS can provide invoices on request.
Participants will need to arrange payment method at time of registration.
Late payments
The process for missed payments will be based on ensuring this program is as fair, equitable and sustainable as possible and continues to benefit as many children as possible.
o Participants attending and have missed 1 payment will be sent an email asking for payment, with one week given to respond and make the payment
o If no response and payment made within that period, the places will be opened for those on the wait list
o BAASS can negotiate with participants/families/carers on an individual basis where exceptional circumstances may require flexibility
3. Attendance
· Please sign your child/ren in at each session
· Registering and participating in BAASS Sensory Gymnastics program means you commit to attending as many sessions as
possible.
We require you to pay full term fees in order to register and participate.
This is important to:
o ensure your place in the program
o our program remains viable
o maximises our likelihood of securing funding for this program to continue
o enables us to potentially expand to further sessions.
· Advise BAASS as soon as possible if you are unable to attend a session or are unable to continue participating in/attending
Sensory Gymnastics Program.
· Parent/Guardian and/or Carers are required to be in attendance and provide for their own children/s needs and vigilant supervision
for child/ren in their care.
· Advise BAASS in advance, where possible, if you are unable to attend a session.
· Advise BAASS as soon as possible if you are unable to continue participating /attending or if you will be absent for more than
one session due to unforeseen circumstances
Parent/Guardian/Carer/s are required to be in attendance and provide for their own children/s needs.
Please be vigilant in the supervision of your child/ren.
4. Non-Attendance Process
· If 2 sessions are missed without notice, BAASS will contact you via email to check in on how your family is going and to confirm if
you still wish to attend.
· BAASS will wait one week (5 business days) for a reply
· If BAASS does not receive a response within one week (5 business days), your place/s in the program will be opened up for the
next child/ren on the waiting list.
o In this instance, BAASS will email participant/family/carer and Palmer’s Gym, advising of your place no longer being open
to you. There will be no refunds in this instance.
o You may opt to be placed on the wait list for if another place becomes available should your circumstances change enabling
you to commit fully to the program at a future time
5. Photos and footage
These requirements are extremely important and relate to BAASS Image/Footage Policy and Legislation around Child Safety.
· Parents/carers may only take photos and footage of their child/ren.
· Gym staff and supervisors have given consent to be in photos and footage during BAASS Sensory Gymnastics sessions.
· Please do not take photos/footage of other children and
· Parents must not share or post images/footage of other children in public places/social media or with other people etc.
· BAASS Co-Convenors may obtain images and footage in compliance with our Image/Footage Consent Information Form and the
specific consent details you provide at registration.
6. Clothing
· Please ensure participants are dressed in comfortable clothing- for eg.: gym tshirt (optional), leggings, shorts, tracksuit pants-
no denim, dresses, protruding/abrasive zips or buttons.
· Bare feet (preferred) or grip/non-slip socks on equipment only- no shoes.
7. Participant assistance
· If participants require assistance whilst on/using equipment, accompanying parents/carers are asked to assist or please feel
welcome to ask a gym supervisor. Gym supervisors will be easily identifiable, please ask if unsure.
8. Heat Policy
For the safety of staff/supervisors, participants and families/carers, BAASS Sensory Gymnastics sessions will not run if:
· Session day is forecast for 38*C or above
· If 38*C or above is forecast for the Friday & Saturday
· If 38*C or above is forecast for Thursday and Friday
We will try to ensure we give as much notice as possible and provide reminders in these instances.
9. Communication and updates
We understand how crucial communication and preparation is for many people. BAASS works closely with Palmer’s Gymnastics staff and supervisors to ensure we provide adequate and relevant support to be as inclusive and accessible as possible.
The primary method of communicating any changes, is by the BAASS & Palmers Sensory Gymnastics Group on facebook. Please visit the link provided here, to be added to the group.
The BAASS/Palmers Gymnastics Facebook group is a closed group for updates for the families and children attending the Palmers Gym/Bendigo Autistic Advocacy and Support Service Saturday Gymnastics sessions. This group is not private so that new participants can locate it and request to join.

Please note that others will see you are in this group but only members will be able to see posts within the group.
If you need to receive updates and information by another method, please let us know and we can negotiate how best to ensure you receive updates.
10. End of sessions
BUBBLES!
· To support transition, when there is 10 minutes remaining in the session:
o the music will be switched off -signaling 10 minutes remaining
o when 5 minutes is remaining, the bubble machine will be switched on - signaling 5 minutes remaining
· After five minutes of bubbles, they will be switched off.
· The end of session will be announced as the bubbles and music are switched off.
· As the session ends, all equipment is packed away, machines are switched off and inflatable equipment deflated.
· Please ensure you guide your child to exit the equipment safely at this time. The equipment is not safe once deflation has commenced.
11. Quiet space/retreat
A tent will be available in the foyer area during sessions, for the use of BAASS Sensory Gymnastics sessions and participants. We hope to add a cushion and a small tub with earmuffs and a small selection of fidgets. This area is designed to be used if at any time a participant is feeling overwhelmed, distressed and needing some space away from the gym and others.
We ask that parents/carers introduce the space to their children and provide subtle supervision when using the tent. This will also enable others to know the tent is in use and the participant can remain undisturbed. Please monitor the children in your care to ensure they do not disturb anyone using the tent.
