BAASS Tech Hub Guidelines
Bendigo Autistic Advocacy and Support Service (BAASS) Tech Hub is delivered with a loosely structured, participant-led approach.
Participants attend sessions with BAASS Mentors and Volunteers who respectfully facilitate engagement in various interest-led programs and activities, collaboration between BAASS Mentors/Volunteers and participants, participant-participant as relevant, and active supervision. We ensure each participant has the opportunity to work 1:1 with BAASS Mentors/Volunteers during each session; on a basis of participant preference, session content and individual needs.

BAASS Tech Hub Guidelines
We appreciate your cooperation with the following guidelines. These ensure we can continue to offer this program and do so safely.
The safety and well-being of participants is our utmost priority.
There are 9 (nine) guidelines. Please ensure you have read all 9 (nine) guidelines.
BAASS Tech Hub runs throughout school terms, currently on Sunday afternoons. Sessions finish the weekend before the last week of school.
We also run additional Tech Hub workshops at times.
Parent/Guardian/Carer/s are not required to attend but are welcome to stay if needed. Participants are welcome to attend with Support Workers if the participant requires 1:1 support for the duration of the session. We care unable to provide complete 1:1 for participants.
Each session is capped at a specific number for the safety and well-being of participants and BAASS Mentors/Volunteers and Co-Convenors. Our participant to Mentor/Volunteer ratio is set to ensure the utmost guidance/mentoring, safety and wellbeing of all staff and participants.
Participation in BAASS Tech Hub requires a commitment to attend and prompt payment of membership fees, in order to secure your place, to operate and continue offering this dynamic and wonderful program.
We monitor and manage group dynamics to ensure all participants are as comfortable as possible and provide a versatile space to cater to a range of preferences and needs.
Please advise a BAASS Co-Convenor/s of any concerns or considerations relating to your children’s
needs and attendance.
Participation in this program requires you to adhere to the following guidelines:
1 Registration
BAASS will keep your information confidential and it will be stored securely. For further information on this, you can view the BAASS Privacy Policy here.
This is required at the start of participation and at the start of each year
Please confirm that you have a place in the session before completing the registration form.
Once sessions are at capacity, we have a wait list for any session vacancies or in the case of additional sessions.
2 Membership Fees and Payment
The BAASS Tech Hub Program will be delivered at as minimal cost as possible. This program is so incredibly beneficial for all participants and it is our passion to ensure we can continue to provide this.
BAASS Tech Hub participation is now on a Membership fee basis.
Membership fees are all-inclusive for program participation. This includes costs to secure your place/s in the program, program equipment and upgrades, mentoring, insurance, program development and many other ongoing costs associated directly with running Tech Hub.
Cost: $180 for 1 Term Membership
Payment is by direct bank transfer
**Payment in advance is preferable. Membership Fees are due by the end of week 1 of each term**
Payment can be made by Term, Semester or Annual amounts IN FULL. Please indicate which you prefer at time of registration.
We can arrange limited flexible payment option arrangements and trials, please contact us to organise this.
NDIS funded places
Please note that participants accessing Tech Hub through their NDIS plans involve a different fee structure.
Information about places funded under NDIS plans is not passed on to Mentors or participants and Mentors pay rates are set and based on Award Wage -Disability and Social Services Employee- Casual as per Internal BAASS Mentor Roles and Responsibilities policy.
Although not required as an unregistered Service Provider, BAASS provides Service Agreements in negotiation with clients/participants to ensure clarity of expectations and requirements; utmost transparency and accountability.

3 Bank payment
Please make term payment in full before the start of term. If paying at a different frequency, please ensure your payments are made in advance, by the due date or we will not be able to secure your place/s within the program.
Please include your children's surname or the surname of main contact on registration form as reference
Please email BAASS to confirm payment, and include details of amount paid and participant names.
This is important to:
o ensure your place in the program
o our program remains viable
o maximises our likelihood of securing any potential funding or grants to support this program and participants
o enables us to potentially expand to further sessions.

Late payments
The process for missed payments will be based on ensuring this program is as fair, equitable and sustainable as possible and continues to benefit as many children as possible.
Membership Fee Refund
Membership fees cannot be refunded. Membership fees secure participant places and all costs associated with that. These costs remain regardless of attendance and cannot be refunded.
Exceptional Circumstances
Membership fees may be refundable under exceptional circumstances, if membership is terminated in writing, by the end of week 5 of term and as negotiated with BAASS Co-Convenors. Refunded amount will only be the remaining portion of membership as paid.
4 Attendance
Parents/carers are not required to remain during sessions.
If your child requires 1:1 support during sessions, parent/carer/support worker should remain.
Non-Attendance Process
o In this instance, BAASS will email participant/family/carer, advising of your place no longer being open to you
o You may opt to be placed on the wait list for if another place becomes available should your circumstances change,
enabling you to commit fully to the program at a future time
There will be no refund of membership fees paid, except under exceptional circumstances.
5 Photos and footage
These requirements are extremely important and relate to BAASS Image/Footage Policy and Legislation around Child Safety.
6 Participant assistance
If participants require 1:1 assistance for session duration and/or at all times, please ensure parent/carer/support worker attends with the participant
Mentors and Volunteers will be present to actively work with participants on a needs and preference basis, as a group.
Participants will receive limited 1:1 mentoring and working with volunteers as required dependent on group dynamics, activity, preferences and in consideration of the safety of all present.
7 Communication and updates
We understand how crucial communication and preparation is for many people. BAASS Co-Convenors work hard to ensure we provide adequate and relevant support and programs to be as inclusive and accessible as possible.
The primary method of communicating any changes, is by the BAASS Tech Hub facebook page. This can be accessed here.
Follow our BAASS Tech Hub Facebook page for updates, information and session content.
Any significant updates or specific information will be emailed to participants.
We will have an updated Mentor and Volunteer profile to provide participants starting Tech Hub and post updates on Mentor/Volunteers on our Facebook Tech Hub Facebook page.
If you need to receive updates and information by another method, please let us know and we can negotiate how best to ensure you receive updates.
Please ensure you advise us via email, of any absences and please feel welcome to send us any queries, suggestions or concerns! We always want to hear from you if you have queries, suggestions, comments or concerns.
8 End of Sessions
9 Quiet space/retreat
Numerous areas are available in the shared BAASS building for the use of BAASS Tech Hub participants.
We set up for sessions in a large partitioned room and some activities are spaced separately to ensure adequate space and catering to diverse needs.
There are areas for participants to access if at any time they are feeling overwhelmed, distressed and needing some space away from the others.
Mentors/Volunteers will ensure participants are aware of available spaces and will provide subtle supervision for any participants utilising other spaces.
Session Cancellation
Session cancellation is extremely rare and we will do everything possible to avoid cancellations.
In the case of unforeseen circumstances and unavoidable cancellation, we will ensure we give as much notice as possible.
Notification will primarily be via Facebook Tech Hub page and we will endeavour to also send a group email to the relevant participants.

- If payment is not received by the end of week 1 of term, the participant contact will be sent an email asking for payment, with one week given to respond and make the payment
- If no response and payment made within that period, the place/s will be opened for those on the wait list
- BAASS can negotiate with participants/families/carers on an individual basis where exceptional circumstances may require flexibility

- If 2 sessions are missed without notice, BAASS will contact you via email to check in on how your family is going and to confirm if you still wish to attend.
- BAASS will wait one week (5 business days) for a reply
- If BAASS does not receive a response within one week (5 business days), your place/s in the program will be opened up for the next child/ren on the waiting list.
o In this instance, BAASS will email participant/family/carer, advising of your place no longer being open to you
o You may opt to be placed on the wait list for if another place becomes available should your circumstances change,
enabling you to commit fully to the program at a future time

5 Photos and footage
These requirements are extremely important and relate to BAASS Image/Footage Policy and Legislation around Child Safety.
- BAASS Co-Convenors, Mentors and Volunteers consent to be in photos and footage during BAASS Tech Hub sessions as a component of their roles. There can be exceptions to this in which case, Mentors/Volunteers please advise BAASS if you would like to negotiate this.
- Parents/carers must not take photos/footage of other children
- Parents/carers must not share or post images/footage of other children in public places/social media or with other people etc.
- BAASS Co-Convenors may obtain images and footage in compliance with our Image/Footage Consent Information Form and the specific consent details you provide at registration.

- To support transition, Mentors and Volunteers will indicate when there is 15 minutes remaining in the session and at intervals. Participants will be supported around time management, project timing and completion to assist with transitions.
- Parents/carers are required to arrive promptly at session end time to collect participants

BAASS prioritises the safety and wellbeing of all participants and may make changes, or as a last resort, withdraw or refuse services based on this. We will endeavour to offer every support and opportunity we can in order to ensure group dynamics best for safety and wellbeing of all participants. BAASS Tech Hub ‘rules’ for participants
To ensure sessions run smoothly and each participant is comfortable and respected, we have several ‘rules’ in place for participants.
Please take the time to speak with your participant/s about these and we also have these displayed throughout the Tech Hub space.
Mentors also gently remind participants if required and will ensure participants are aware of these.
BAASS Tech Hub Rules for participants
- We do not touch things that belong to someone else
- We stop when someone says “NO”
- Every person needs personal space
- We do not take photos of others or their belongings
